How we handle your personal information

Roam Rapture Limited (“we”, “us”, “our”) is a registered East-African tour operator based in Kampala, Uganda. This policy explains how we handle personal information collected through roamrapture.co.ug, enquiry forms, bookings, email, WhatsApp, and phone.

We collect personal information in two ways:

• Information you give us directly — name, email address, phone number, country of residence, travel dates, group size, dietary or accessibility requirements, passport details (only when required for booking permits or domestic flights), and any free-text message you send us.
• Information collected automatically — basic analytics from your browser (page views, device type, approximate location), cookies that keep the site functioning, and server logs we use for security monitoring.

• To respond to enquiries and prepare quotations.
• To book accommodation, park permits, and transport on your behalf.
• To send booking confirmations, pre-departure information, and service updates.
• To process payments through our authorised payment partners.
• To meet our legal obligations (tax records, immigration permit requirements, anti-fraud checks).
• To send occasional travel offers — only if you opted in via the newsletter signup, and never more than twice a month.

We share the minimum necessary information with the parties that actually deliver your trip — lodges, ground transport operators, the Uganda Wildlife Authority, Rwanda Development Board, Kenya Wildlife Service, airlines, and our payment processor. We do not sell, rent, or trade your personal information to advertisers or data brokers.

Enquiry messages are retained for up to 24 months. Booking and payment records are retained for 7 years to meet Uganda Revenue Authority requirements. Newsletter subscribers can opt out at any time using the link in every email; we delete unsubscribed addresses within 30 days.

You have the right to:

• Request a copy of the personal information we hold on you.
• Correct anything that is inaccurate.
• Ask us to delete your information (subject to legal retention periods above).
• Withdraw consent for marketing emails at any time.

To exercise any of these rights, email info@roamrapture.co.ug and we will respond within 14 working days.

We use a small number of strictly necessary cookies to keep you signed in, remember your booking-in-progress, and protect against spam. We do not currently use third-party advertising or cross-site tracking cookies.

Our services are intended for adults booking travel for themselves and their families. We do not knowingly collect personal information from children under 16 without parental consent.

We may update this policy from time to time. The “Last updated” date at the top of the page will always reflect the most recent revision.
